Refunds, Cancellations & Rescheduling

1. General Principles
- We provide professional services (video editing, post-production, and optional filming add-ons). Unlike goods, services cannot be “returned” once performed.
- We are committed to quality and collaboration. Most issues are resolved through revisions and support rather than refunds.
- This policy should be read together with our Terms of Service and any project-specific agreement.
2. Deposits & Upfront Payments
- Any deposit, booking fee, or retainer is non-refundable once work begins (planning, ingest, setup, creative work).
- If you cancel before work starts, we will refund the deposit minus any non-recoverable third-party costs (e.g., stock licenses already purchased).
3. Project Cancellations (Editing & Post-production)
- You may cancel a project at any time by notifying us in writing.
- For cancellations after commencement, you will be billed for:
- time already spent (planning, ingest, edits, graphics, color, sound), and
- committed third-party costs (licenses, freelancers, storage beyond standard, etc.).
- Any remaining balance after these deductions will be refunded to your original payment method.
- Delivered or completed milestones are non-refundable.
4. Revisions Instead of Refunds
Our standard engagement includes reasonable rounds of revisions (as defined in your proposal or Terms of Service). If the first draft needs changes to meet the agreed brief, we’ll prioritize revisions. Requests outside the original scope may be quoted separately.
5. Filming Add-ons (Operator / Drone)
- Weather / Venue Issues: If filming is affected by weather or location restrictions, we will reschedule at no extra charge (subject to crew availability). If rescheduling is not possible, we will invoice for actual costs incurred (e.g., permits, travel, crew minimums).
- Client-Initiated Cancellation: If you cancel within 48 hours of the call time, a cancellation fee up to the crew minimum may apply to cover lost time and bookings.
- Safety & Compliance: Drone flights depend on local regulations and safe operating conditions. If a flight is deemed unsafe or unlawful, we will not proceed and will attempt to reschedule.
6. Stock Media, Music & Licenses
- Costs for stock footage, music, fonts, or plugins are non-refundable once purchased.
- If licenses are tied to a specific deliverable or platform, refunds are not available after procurement.
7. Delivery Files & Storage
- Final deliverables are provided in agreed formats through secure links.
- Unless otherwise agreed, we retain project files for 90 days after delivery. Extended archiving can be arranged as a paid add-on.
- Storage/archiving fees are non-refundable once the service period starts.
8. Processing Time for Approved Refunds
- Once a refund is approved, we initiate it within 5–10 business days. Your bank or payment provider may take additional time to post the credit.
- Refunds are issued to the original payment method only.
9. Chargebacks & Disputes
- If you believe there is a billing error, please contact us first — most issues are resolved quickly.
- Unauthenticated or unfounded chargebacks may be contested with documentation (time logs, approvals, deliveries).
10. Non-Refundable Situations (Examples)
- Change of creative direction after work is completed on an approved brief.
- Preferences that were not part of the original scope or provided after the agreed feedback window.
- Delays caused by late assets/feedback from the client.
- Completed filming days (except where legally required or explicitly agreed otherwise).
- Purchased third-party licenses (stock, music, plugins) once procured.
11. Consumer Rights
Nothing in this policy limits any non-waivable consumer rights under applicable U.S. federal or State of Oklahoma laws. Where mandatory law provides additional protections, those protections prevail.
